[size=1em]• Serve as the point person for office manager duties including:
[size=1em]• Maintenance
[size=1em]• Mailing
[size=1em]• Supplies
[size=1em]• Bills
[size=1em]• Errands
[size=1em]• Shopping
[size=1em]• Schedule meetings and appointments
[size=1em]• Organize the office layout and order stationery and
equipment[size=1em]• Maintain the office condition and arrange necessary repairs
[size=1em]• Partner with HR to update and maintain office policies as necessary and source and arrange interviews.
[size=1em]• Organize office operations and procedures
[size=1em]• Coordinate with IT department on inventory management and shipping.
[size=1em]• Ensure that all items are invoiced and paid on time
[size=1em]• Manage contract and price negotiations with office vendors, service providers, and office lease
[size=1em]• Manage office G&A budget, ensure accurate and timely reporting
[size=1em]• Provide general support to visitors
[size=1em]• Assist in the onboarding process for new hires
[size=1em]• Address employees queries regarding office management issues (e.g. stationery, Hardware, and travel arrangements)
[size=1em]• Liaise with facility management vendors, including cleaning, catering, and security services
[size=1em]• Plan in-house or off-site activities, like parties, celebrations, and conferences
[size=1em]• Maintenance of Par Level inventory
[size=1em]Requirements
[size=1em]• Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
[size=1em]• Knowledge of Office Administrator responsibilities, systems, and procedures
[size=1em]• Proficiency in MS Office (MS Excel and MS Outlook, in particular)
[size=1em]• Hands-on experience with office machines (e.g. fax machines and printers)
[size=1em]• Familiarity with email scheduling tools, like Email Scheduler and Boomerang
[size=1em]• Excellent time management skills and ability to multi-task and prioritize work
[size=1em]• Attention to detail and problem-solving skills
[size=1em]• Excellent written and verbal communication skills
[size=1em]• Strong organizational and planning skills in a fast-paced environment
[size=1em]• A creative mind with an ability to suggest improvements
[size=1em]• College above degrees
[size=1em]• Experience in QB or other accounting software
[size=1em]• Sufficient English writing and speaking abilities
