Job Duties:
· Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
· Answer all incoming calls and redirect them or keep messages
· Directs visitors by maintaining employee and department directories; giving instructions
· Update appointment calendars and schedule meetings/appointments
· Maintain security by following procedures and controlling access via the reception desk (monitor visitor system, issue visitor badges)
· Maintains telecommunication system by following manufacturer's instructions for house phone and console operation.
· Maintains safe and clean reception area, kitchen/lunch room/conference room by complying with procedures, rules, and regulations.
· Receiving and sorting daily mail/deliveries/couriers
· Prepare outgoing mail by drafting correspondence, securing parcels etc.
· Check, sort and forward emails
· Refilling all office and kitchen supplies, snacks and drinks
· Work with catering vendor to provide the daily lunch for employees
· Monitor office and kitchen supplies and place orders when necessary
· Monitor office and kitchen expenses and costs
· Keep updated records and files
· Take up other duties as assigned (travel arrangements, filing, photocopying, collating, faxing etc.)
· Support Operations Manager on assigned projects/events
Skills and Qualifications:
· Proven experience as front desk representative, agent or relevant position
· Knowledge of office management and basic bookkeeping
· Excellent knowledge of MS Office (especially Excel and Word)
· Strong communication both written and verbal and people skills
· Familiarity with office machines (e.g. fax, printer etc.)Ability to be resourceful and proactive in dealing with issues that may arise
· Ability to organize, multitask, prioritize and work under pressure
· Customer service orientation
· High School diploma; additional qualifications will be a plus
