Looking for a long-term individual to support all departments in the company. Experience in the construction industry is preferred, however the desire to learn the industry is welcomed.
Qualifications include the following criteria:
*Great customer service skills in person and over the phone.
*Professional and positive attitude.
*Ability to manage time efficiently, multi-task, learn quickly, and problem solve.
*Willing to learn new skills and take on new tasks.
*Detail oriented and able to coordinate special projects.
*Have excellent communication skills.
*Be self-motivated and a self-starter.
*Must be reliable, punctual and have excellent work ethics.
*Tech savvy and proficient with Microsoft Office.
Some of the job duties will be but not limited to:
*Answer all incoming calls, screen, and direct them appropriately.
*Greet clients and vendors who walk into the office.
*Provide administrative support to accounting department, Project Managers, Office Manager and
the President. Liaison between general contractors, owners and vendors.
*Main point of contact for the general public as well as employees.
*Heavy data entry, posting invoices, billing service orders and reconcile credit card statements.
*Prepare bid packages, printing plans to scale and gathering all the necessary information from the
general contractors.
*Open and distribute mail.
*Obtain insurance certificates.
*Type proposals, company memo, and official letters.
*Send correspondences, packages, returns.
*Order office supplies and promotional and marketing materials, creation of AD's and sponsorship
campaigns.
*Coordinate all company functions, dinners and holiday party ranging from 50 to 250 people.
*Executive assistant to the CEO in all professional business activities, and personal endeavors
entrusted to establish an organized and successful environment.
Work hours are flexible between 7am to 5pm.
